The UIS have completed their consultation and analysis of the impact of Dropbox, Google and Microsoft’s announced changes to storage service quotas on users at the University.

  • a 500GB quota for new individual and shared Google Drives, as well as existing accounts that are currently using less than 500GB. Less than 0.4% of users and 1.8% of shared drives are exceeding this quota. We will consider implementing further quota reductions for accounts before Google’s July 2024 deadline.
     
  • a 1TB OneDrive quota for new A3 Microsoft 365 accounts, before the new cohort of students arrives.
     
  • a 1TB OneDrive quota for all A3 and A5 Microsoft 365 accounts that are currently using less than 1TB. Less than 0.5% of users are currently exceeding this quota.
     
  • a 100GB OneDrive quota for all new A1 Microsoft 365 accounts and existing accounts that are currently using less than 100GB. These accounts are given to University visitors and guests, rather than staff and students. Less than 1% of users are exceeding this quota. (Note that users can determine which licence type they have by logging into their Microsoft 365 account and visiting the Subscriptions page.)

They won’t make any immediate changes to the minority of accounts that exceed the quotas and will work with School IT Leads to understand the needs of individuals and groups whose usage currently exceeds the quotas, identify suitable services for each use case and provide guidance on how to migrate to alternative services.

Dropbox is also introducing a 5TB quota per user in July 2024, but the UIS have no immediate plans to implement a quota on this service. They will continue to review usage to determine if quotas are necessary.
